HR & Admin Executive

I – JOB DESCRIPTION

1. Human Resources Tasks

  • Track, update, and manage employee records and labor contracts; handle procedures for resignation, appointment/dismissal, adjustments, etc.
  • Create and delete email accounts; reconcile and manage email records.
  • Monitor timekeeping, annual leave, and employee benefit policies.
  • Communicate company rules, policies, and HR regulations to staff and address related inquiries.
  • Organize internal activities such as birthdays, holidays, training sessions, and company trips.
  • Process reports and documentation for social/health/unemployment insurance, labor declarations, work permits, and visa applications.
  • Prepare periodic reports on employee changes; compile monthly insurance contributions, sick leave, maternity benefits, health insurance cards, and finalize insurance books.
  • Stay updated and provide advice on changes in labor laws and HR-related policies.
  • Perform other HR-related duties as assigned.

2. Recruitment Tasks

  • Develop recruitment plans based on company needs.
  • Manage the recruitment process including job postings, CV screening, preliminary interviews, and onboarding new hires.

3. Office Administration Tasks

  • Manage office assets, equipment, and facilities.
  • Ensure cleanliness and orderliness of the office environment.
  • Safekeep company stamp and handle document stamping as required.
  • Review and consolidate incoming invoices; track cash flow, advances, and payments; retrieve bank statements; update company financial information; report cash flow status.
  • Support procurement of office supplies, beverages, taxis, air tickets, hotel bookings, printer ink, etc.
  • Provide important documents as requested by the Director.
  • Handle printing (name cards, envelopes), photocopying, scanning, notarization, certified copies, document translation, and spiral binding.

II – JOB REQUIREMENTS

  • University graduate with at least 2 years of experience in a similar role.
  • Gender: Female, aged 25–35.
  • Basic reading comprehension in English.
  • Strong communication, problem-solving, and organizational skills.
  • Basic understanding of labor laws and HR regulations.
  • Detail-oriented, honest, responsible, and meticulous in handling tasks.

  • Working Days: Monday to Friday (Saturday & Sunday off).
  • Working Hours: 08:30 AM – 05:30 PM.
